Payment Deadlines

Returning and Local International Students Priority Registration Fee Payment Deadline:  November 3

International students must pay their entire tuition and fees before they can register. Any international student, who wishes to register for more credits than they initially paid for, must pay the additional fees and then contact the International Education office at 604.599.2534.

Fee Payment Deadline: December 9 (for registration activity November 12 to December 9)

All tuition and other fees incurred for registration activity between November 12 to December 9 must be paid before the close of business (1900) on Tuesday, December 9. Unless otherwise authorized (see Registration Deposit & Fee Payment Override) your registration will be cancelled if you have not paid in full by this Fee Payment Deadline.  Please note:  Registered students who are dropped for non-payment and do not go back in and register for a course after the system reopens on Dec 11 will forfeit their registration deposit or commitment fee (if applicable).

If you make a partial payment only, your entire registration will still be cancelled. Check your account balance prior to the Fee Payment Deadline of  (1900 PST) December 9 to ensure you have paid the full amount owing.

Registration System Closed: December 10

The system will be closed to registration on December 10. Students can check their schedule and fee assessment, but no changes can be made to your registration during this period.

Additional Fee Payment Due Date: January 16 (for registration activity December 11 to January 16)

You can add or drop courses online December 11 to January 11, and in person January 12 to 16. Any additional charges resulting from course changes during these periods are due and payable on or before the close of business (1630) on Friday, January 16. Check your fee assessment after your final add or drop, and again on January 16. All accounts not paid in full by this date will be considered to be overdue and will be dealt with by Financial Services. In this case, you will remain registered, and will NOT be dropped from courses. You will owe for the full amount of the tuition and other fees assessed and you will be charged a Late Payment Penalty.  If you register during this period, Dec 11 to January 16, and drop all of your courses, you will forfeit your registration deposit or commitment fee (if applicable).

Late Payment Penalty

A late payment penalty of 5% of total outstanding fees ($10.00 minimum) will be applied to any fees outstanding after January 16. Check your fee assessment before you pay to ensure that you have paid the correct amount. An additional penalty of 5% will be applied to the total fees still outstanding after February 20 (minimum penalty - $10.00).

Tuition Fees

  • $116.50 per credit
  • $420.00 per credit for International Students (Tuition calculations for international students are not finalized until after the add/drop deadline)

Student Association Fees

  • Student Association fees for credit courses: Flat rate of $7.00 per student per semester plus $3.00 per credit to a maximum of $47.00 per semester
  • Canadian Federation of Students levy: $0.60 per credit to a maximum of $7.20 per semester
  • KSA Bursary Fund: Flat rate of $1.00 per student per semester
  • KSA Lobby Fund: Flat rate of $2.00 per student per semester
  • Student Publication and Campus Culture Publication Fee: $0.75 per credit (There will be an opt out option for this fee, details to follow)

New Payment Method Available via Online Banking

You can now set Kwantlen up as a "payee" with your financial institution and pay your tuition and fees using your online banking account. Most financial institutions are eligible and should have Kwantlen listed as an available payee. If not, simply ask them to set Kwantlen up for you. Then, log-in to your online bank account and pay your tuition and fees to Kwantlen like you would if you were paying your hydro or credit card bills using online bill payment services. Your Kwantlen student number must be provided as your account reference. Please allow 2 - 3 business days for processing.

  • Login, select Registration Menu, select Credit Card Payment and follow the step-by-step instructions

Credit card payments are now being processed with immediate approval. This means that when the student enters the card number and expiry date, the system will pause for a few moments while the credit card information is verified. The online self-service system will respond with an approval page indicating a reference number. Student's are advised to either take a printout of their approval page or write down the approval reference number. The system will also indicate if the credit card payment has been declined. At Kwantlen

  1. Cashier: (cash, credit card, cheque, Passport to Education, debit card, Youth Options coupons). Students must provide photo identification when making a payment in person. Therefore third party payments cannot be made at the cashier. Registration Deposit payments made at the cashier are normally processed within 1-2 business days. For Passport to Education and Youth Options coupon payments, your Social Insurance Number is required for any amounts $500.00 or over. Passport amounts in excess of the account balance will be refunded by cheque via postal mail about four weeks after registration ends.
  2. Drop Box: Drop box payments are normally processed in 1-2 business days. Staple your cheque, credit card information or money order (no cash please) to the Branch Copy of a completed Fee/Deposit Payment form, and place it in the drop box located in the Admissions area at the Langley, Richmond or Surrey campuses. Your Kwantlen student number must be printed on the back of the cheque or money order.

By Postal Mail

Allow time for your payment to be received by Kwantlen before the fee deadline of December 9 (the date of the postmark will not be considered as the payment date). Mail the Fee/Deposit Payment form with your payment to the address on the form. Record your student number on the cheque or money order. Do not send cash in the mail.

Sponsorships

When fees are being paid by a sponsoring agency, you must contact Kwantlen Accounts Receivable 604.599.2242 or 604.599.2057 as soon as possible. You are required to forward a Letter of Authorization from your sponsor. It may be faxed to Accounts Receivable at 604.599.2338. A Letter of Authorization should be provided 7 – 10 days before your registration date if you are relying on sponsorship to cover your Registration Deposit. Your registration may be delayed if the Letter of Authorization is received after this date.

Returned Cheques

Note: A fee of $30.00 will be charged for any returned cheques. If your cheque is returned in payment of fees for the:

  • Registration Deposit - your registration access may be denied
  • Fee Payment Deadline of December 9 - your fees will not be considered paid and your registration will be cancelled
  • Additional Fee Payment Due Date of January 16 - your account will be considered as overdue and will be dealt with by Financial Services. Students will NOT be dropped from their courses but will remain registered and will be considered to owe the university for the full amount of the fees assessed including a Late Payment Penalty.

Refunds/Fee Adjustments

Refunds are processed when a drop results in a reduction in assessed fees after fees have been paid. If fees are still outstanding, the adjustment results in a reduction in the amount to be paid. Refunds will be processed and a cheque will be mailed approximately four weeks after registration ends.

The Registration System automatically calculates tuition and other fees assessed for each course. You are responsible for paying all fees incurred throughout registration in full, and are liable for the full cost of any courses in which you are registered after December 9 (See Late Registration for further deadline and refund details.) All outstanding fees must be paid in full by the published deadline.

Students who require assistance for full-time or part-time study are advised to apply early (at least 2 months before first day of classes). Be sure to confirm by January 4, 2009 that you are eligible for assistance as you will be responsible to pay any fees incurred by registering for courses unless you drop by 23:00 on January 4.

Registration Deposit and Tuition Fees Override

Students who have been approved for assistance from the Student Aid BC (SABC), the Canada Study Grant High-Need Part-Time program (CSG HNPT), the Adult Basic Education Student Assistance Program (ABESAP) and who are in receipt of a direct award may be eligible for an exemption from the tuition fee payment deadline. Please complete the Registration Deposit and Fee Payment Override or from any Student Awards & Financial Assistance office at least one week prior to the Fee Payment deadline. Faxed copies are acceptable.

Scholarship Recipients

Students receiving any Kwantlen Entrance Award or Scholarship automatically receive a registration deposit and tuition fees override, and will be given instructions on how to have the funds applied directly to their student account. Further information may be obtained by contacting the Scholarships and Awards Coordinator at the Surrey campus at 604.599.2278.

Direct Award recipients, who wish to use their awards to pay their registration deposit and/or tuition, should contact the Langley Campus Financial Awards Office at 604.599.3453. It is your responsibility to confirm by December 9 that your fees have been covered or your registration will be cancelled. Many external scholarships require confirmation of enrolment before funds are released. Enrolment will be confirmed in the Registrar’s Office after registration ends so recipients of these scholarships must make their own arrangements to pay their fees by the Fee Payment Deadline, December 9, or their registration will be cancelled. Payment deadlines and late penalties will not be waived.
